All three cover administrative and organisational work only. Each is designed for a particular point on the family's path — a single planning session, an ongoing remote coordination, or full accompaniment from start to finish.

Our Methodology

How Cairnrose approaches every engagement

Every Cairnrose engagement begins with the same first stone: a boundaries statement that names clearly what the work covers and where the limits are. Administrative and organisational support is the whole of it. Legal advice, financial guidance, and representation before any government body or official office are outside scope, and this is confirmed before any other step is taken.

From that starting point, we draw the path. The sequence of administrative stones, their dependencies, and the estimated week count for each one are written out and given to the family before any action is taken. Families can see the whole route before they take the first step.

Path Mapping Session

A two-hour session drawing the family's own administrative path — naming each stone in order, marking which ones depend on others, and estimating how many weeks the sequence usually takes. Written for families in coastal and East Malaysian districts where offices are dispersed and travel needs planning. Scope covers one two-hour meeting.

Remote Family Coordination

Coordination for families where the relatives are in other states or countries, covering document gathering on the ground, scheduling of local appointments, video meetings at hours that suit the participants and a shared archive so everyone sees the same file. Suited to households where nobody lives near the records. Scope runs three months with fortnightly video meetings.

Complete Path Accompaniment

Accompaniment along the entire path — covering inventory, document gathering, correspondence drafting for the family to send in their own names, appointment scheduling, presence as a support person at administrative visits, and preparation of a briefing pack for any independent professional firm the family engages. Scope runs six to nine months with weekly contact.

  • Complete indexed archive built and maintained throughout the engagement
  • Travel-planned appointment calendar with districts and office details
  • One accompaniment visit per fortnight to administrative offices as a support person
  • Monthly written progress reports distributed to all family members with archive access
  • Translation and attestation coordination
  • Closing handover meeting with the full family upon completion

Standards that apply across all three arrangements

PDPA-aligned data handling

All family documents and personal data are handled in accordance with Malaysia's Personal Data Protection Act 2010. Archive access is named and revocable.

Written records after every contact

Every meeting, video call or significant phone conversation produces a written summary, filed in the archive so nothing is left to memory or verbal reconstruction.

Clear scope, maintained throughout

The boundaries stated at the start of the engagement are maintained throughout. Cairnrose does not provide legal, financial, or tax guidance at any stage.

Pause markers respected

No pressure is placed on families to continue before they are ready. Stopping is treated as a planned event, not a failure, and the path remains available when the family returns.

Correspondence in the family's name

All correspondence with external bodies is drafted for the family to review and send in their own names. Cairnrose does not correspond with official bodies directly on the family's behalf.

Tracked courier for originals

Original documents that must travel between locations are sent by tracked courier, with receipts filed in the archive. Courier costs are noted as a separate item at the outset.
